ABOUT THE ROLE
The Assistant Project Manager serves as the backbone of the project management team, providing essential technical and administrative support. You will be the primary link between the Project Manager, the Superintendent, and the subcontractors. Your goal is to ensure that project documentation is accurate, schedules are maintained, and the “boots on the ground” have exactly what they need to build safely and efficiently.
This position is responsible for managing the flow of critical project information, from RFIs and submittals to change orders and scheduling updates. You will coordinate directly with trade contractors, maintain quality and safety compliance on-site, and support the closeout process from start to finish. Your attention to detail and proactive communication will be essential in keeping the project on track and delivering a successful outcome for the client.
KEY RESPONSIBILITIES
- Manage the RFI (Request for Information) process and submittal logs to ensure design intent is met and clarified for the field.
- Assist in developing and updating project schedules; monitor progress to ensure milestones are hit.
- Perform regular site walks to ensure work complies with contract documents, safety standards, and approved submittals.
- Assist in processing change orders, reviewing subcontractor invoices, and tracking material deliveries.
- Facilitate weekly coordination meetings with subcontractors and owners, documenting minutes and action items.
- Lead the project closeout process, including punch lists, O&M manuals, and as-built drawings.
- Support the Project Manager in preparing project reports, cost tracking, and client communications to maintain transparency and alignment across all stakeholders.
QUALIFICATIONS
- Bachelor’s degree in Civil Engineering, Construction Management, or a related field.
- 2+ years of experience in the construction industry.
- Proficiency in project management software (Procore, Bluebeam, or AutoDesk Build) and scheduling tools like Primavera P6 or Microsoft Project.
- Exceptional organizational skills and the ability to pivot quickly when the unexpected happens on-site.
- Strong understanding of construction drawings, specifications, and contract documents.
- Effective written and verbal communication skills, with the ability to coordinate across multiple teams and stakeholders.
- Experience in mission-critical, life sciences, or complex mixed-use projects is a plus.
ABOUT THE ROLE
As a Special Projects Project Manager, you will oversee the tenant fit-out project lifecycle. You will serve as the central point of communication for all stakeholders, including tenants, clients, architects, engineers, and subcontractors. This role requires a deep understanding of construction means and methods, contract administration, and financial controls to effectively manage scope, schedule, and cost.
This position demands strong leadership and decision-making capabilities, as you will be responsible for directing project teams, managing budgets, and ensuring that all work is delivered on time and to the highest quality standards. Your ability to build and maintain relationships with clients, trade partners, and internal teams will be critical to the success of each project you lead.
KEY RESPONSIBILITIES
- Oversee the planning, execution, and closeout of special projects, ensuring alignment with client goals and contractual requirements.
- Manage comprehensive project budgets, forecasts, and schedules, implementing rigorous controls to manage costs and mitigate delays.
- Coordinate all project activities with architects, engineers, general contractors, and vendors, ensuring seamless cross-functional collaboration.
- Serve as the primary liaison with clients and stakeholders, providing clear, consistent, and accurate reporting on project status, risks, and financial performance.
- Enforce stringent safety and quality assurance standards across all project sites and activities.
- Manage procurement, contract negotiation, and administration of all third-party agreements.
- Proactively identify, assess, and resolve project issues and risks to ensure successful delivery.
QUALIFICATIONS
- Bachelor’s degree in Construction Management, Engineering, Architecture, or a related discipline is preferred; equivalent professional experience will be considered.
- 5+ years of project management experience in the construction industry.
- Demonstrated experience managing the full lifecycle of construction projects.
- Proficiency in construction management software and standard office applications.
- Strong understanding of construction contracts, scheduling, cost control, and risk management principles.
- Excellent leadership, communication, and stakeholder management skills, with the ability to lead project teams effectively.
- Experience in mission-critical, life sciences, or complex mixed-use projects is a plus.
The base salary range for this position is $100,000–$135,000 annually. This role may also be eligible for bonus opportunities and a comprehensive benefits package. Compensation decisions are based on several factors including experience, qualifications, and business needs.
